Jalona

An intervention record management platform built for community mental health organizations.

Follow-up with the people you serve, progress notes, housing support, group activities, annual accountability reporting — all hosted in Québec, customizable without programming, and assisted by an AI you keep under control.

Keep your teams focused on their mission

Today, several constraints pull time and energy away from frontline work. Jalona removes them one by one.

Data is scattered

One spreadsheet for follow-ups, another for attendance, notes in documents, an aging database for social housing.

Accountability reporting takes weeks

Every spring, you recount by hand the people reached, new requests, closures — for a report whose numbers already exist somewhere.

Generic software doesn't speak your language

"Client", "opportunity", "ticket" — nothing resembling a psychosocial follow-up, a progress note or a housing check.

Specialized software is rigid

Every new funder requirement becomes a billed development request, delivered in six months.

What the platform covers

30 ready-to-use business entities, grouped into four domains. Each organization activates only what it needs.

Start with the foundation, add what you need

Jalona handles people and their follow-ups from day one. On top of that foundation, your organization activates the modules it needs — housing support, logbook, incident reports, events, dashboards. You see only what you have chosen, and the tool keeps growing: new modules will be added as the sector's needs evolve.

Logbook

Daily staff logbook

Incident report

Structured incident entry and tracking

Events

Dashboards and statistics

Annual report and configurable dashboards

Customization

The solution steward's complete toolkit

Record export

Printing and PDF export of a complete record

Two levels of control: the publisher authorizes a module for an organization, and the organization's management decides whether to activate it. An organization cannot open a module it has not contracted, and the publisher cannot impose an overnight screen change either.

Customization without programming

The platform introduces a dedicated role: the solution steward. Someone on your team who adapts the tool as your services evolve. They do not need to know how to program, and they gain no administration rights over the data: they shape the tool, they do not open the records.

Your own fields

Eight field types, including the qualified choice list that combines a normalized category with free-form detail — you keep both the statistic and the clinical nuance. A new field is immediately usable as a filter, column, export and indicator.

Your value lists

Intervention types, referral sources, territories, closure reasons. You remove a value from the menu without erasing history — essential when explaining figures from three years ago.

Your grid views

Saved views, personal or shared, with 34 filter operators and a full family of relative dates. "Follow-ups with no note for over 30 days" is configured once and stays accurate forever.

Your forms

A drag-and-drop editor: tabs, collapsible sections, 1, 2 or 3 column layouts. The layout survives model changes — a customization never breaks silently.

Your visual identity

Application name, logo, accent color and icon per record type, guidance displayed to staff. Light and dark themes.

Dashboards and accountability reporting

All statistics reason in terms of your fiscal year, with automatic comparison against the previous year. No date gymnastics to redo every spring.

The activity report, computed from your live data

  • Four key indicators: active follow-ups, new requests, closures, people reached
  • Follow-ups by type · Meetings in total and by intervention type
  • Breakdown by gender, age group and condition type
  • Referral sources, including the percentage from the health network
  • Housing situation · Income sources · Territories served
  • Activities: events, participations, average attendance

Your own indicators

The annual report is a template loadable in one click into the dashboard editor. Seven families of measures, five ways to define the measured population — including "active during the period", the most useful one in intervention work.

An indicator can be based on a field you created yourself. A new funder requires a figure you were not collecting? You create the field in the morning, the team fills it in, the indicator appears on the dashboard. No quote, no delay.

The AI assistant — powerful, but held in check

An integrated conversational assistant that does two very different things, and the organization decides which it authorizes: it can build the application with you, and it can work inside the records.

The controls

Disabled by default — nothing goes anywhere until management enables it
Three access levels: disabled, configuration only, data
Dual consent for the Data level: management enables, and each staff member consents
Every write requires human confirmation — nothing is written without a click
The assistant inherits exactly the rights of the person talking to it
Audit log of every action triggered by the assistant
AI provider chosen per organization, key encrypted at rest

Privacy, security and sovereignty

The platform is hosted in Québec. No foreign cloud service in the critical path: your intervention records remain on Québec soil, under Canadian jurisdiction.

Structural isolation between organizations

Isolation is not logical, it is structural: each organization gets its own database schema, provisioned automatically. An application-level filtering error cannot expose another organization's records.

The Custom plan takes isolation further: your organization runs on its own dedicated server, with reserved resources and a separate environment — a step up in isolation from the shared foundation of the Standard plan.

Data and code protection

  • Sensitive information is encrypted using recognized standards
  • Passwords are never stored in clear text
  • All incoming data is validated before it is processed
  • If an error occurs, no technical detail is exposed to the user
  • No record data is ever kept on the device, even offline

Technical details — algorithms, standards and architecture — are available on request for your security questionnaires and funder assessments.

Access security

Brute-force protection

Sensitive entry points — login, AI assistant, data import — are subject to attempt rate limiting, with counters shared across all instances.

Two-factor authentication

TOTP second factor, compatible with common authenticator apps, with single-use backup codes to avoid lockout if a phone is lost.

Microsoft or Google sign-in

Sign-in via Microsoft Entra ID and Google Workspace. An employee departure is handled in one place: disabling the directory account cuts platform access.

Account linking is deliberately restrictive: a person must first have an account created by an administrator; Microsoft or Google sign-in only authenticates them. No record access can arise from an external account sign-in alone. Password sign-in remains available for organizations without a corporate directory.

Beyond the subscription

Take Jalona further with our team

The subscription gives you the platform. These services help you set it up, adapt it to how you work, and make your team self-sufficient — the platform is built so that you can evolve it yourself, and we support you until that is actually true.

Needs assessment and analysis

We meet your team to map your services, your current forms, your parallel spreadsheets and the indicators your funders require. The result is a configuration plan: which record types, which fields, which value lists, which modules to activate.

Full or hybrid configuration

We configure the platform for you, or with you. In hybrid mode, your solution steward works alongside us and progressively takes over — the goal being that by the end of the engagement, your organization no longer needs us in order to evolve.

Data conversion

We take your existing data — spreadsheets, aging databases, exports from your previous system — and convert it into Jalona, mapped to your configuration. You start with your history already in place, not with an empty tool.

Training

Two distinct trainings: daily use for frontline staff — data entry, progress notes, views, exports — and the complete toolkit for the solution steward, who learns to create fields, lists, forms and indicators.

Technical support

Support after go-live: usage questions, configuration adjustments, updates, backups and restores. Hosting and platform operations are handled for you — your team has no infrastructure to manage.
